About your inquiry.

When you use our contact or support form, we collect your name, email address, optional organization, and the message you submit. We use these details to review your request, correspond with you, and organize related work.

We store submissions in our website database and do not display them publicly. We use short-lived, hashed network identifiers to limit abusive submissions. Our hosting providers process the data needed to operate the website.

Assisted drafting.

We use an AI-assisted reply-drafting workflow with Ollama Cloud. We may send the inquiry name, organization, request type, selected service, and message to that service to prepare a draft for our review. We do not include the email-address field, our internal notes, or uploaded documents in that drafting request. Information you place inside the message itself is still included.

Ollama states that it processes cloud prompts and responses transiently to provide its service and does not use them to train its models. See Ollama’s privacy policy for its handling of service metadata and other information. We retain inquiry, draft, and processing records in our website and local drafting system; Ollama’s policy does not govern those copies.

We do not send a reply automatically. We review the draft before using it to respond.

Private client drafting.

When an invited client uses the private workspace, we store the briefs, clarification answers, and feedback they submit. We review a brief before Kyvarel may prepare a draft. The approved brief, selected approved text references, and answered clarification questions may be sent through our PC to Ollama Cloud for drafting. We do not include uploaded documents, mailbox contents, or other clients’ project histories in that drafting request.

Generated text and our later edits remain private until we release a specific revision to invited members of that project. A client’s “Ready” response is feedback, not authorization for us to send or publish anything. We keep project revisions, release and withdrawal records, and operational events for review; archiving a project does not by itself delete those records.

Our drafting workflow depends on the availability of our local system and the cloud service. Requests can remain queued while either is offline; submitting a form does not promise an immediate response.

What to leave out.

Do not submit credentials, sensitive personal information, or confidential client documents through these forms. We do not add you to a marketing list when you submit an inquiry.
